Dental Follow-Up Software Pricing: What a Practice Should Actually Compare

Monthly price is only one part of the decision. Compare the total cost of the workflow, what is actually automated, and how many completed outcomes are needed to cover the subscription.

Dental follow-up software pricing is difficult to compare from the monthly subscription alone. Practices should compare the total cost of the workflow: platform fee, locations or providers, messaging usage, onboarding, phone/SMS setup, integrations, support, contract terms, and any add-on modules required for the actual follow-up use case.

Common pricing models

Dental software may be priced as a flat monthly subscription, per location, per provider or user, by messaging volume, or through a base subscription plus add-ons. Some vendors combine several models.

For follow-up automation, the price only makes sense when you know which workflows are included: reminders, recall, unscheduled treatment, two-way texting, phone services, analytics, integrations, and staff inboxes may be bundled differently.

Costs that are easy to miss

  • Implementation or onboarding
  • SMS / messaging overages
  • Phone-number setup or porting
  • Additional locations
  • Additional modules
  • PMS or API integration fees
  • Training or premium support
  • Annual contract or early-cancellation obligations

Before signing, ask for the expected first-year total cost in writing, not only the advertised monthly price.

Compare total cost, not sticker price

A lower monthly price can still be more expensive if the practice must keep another platform for the missing workflow, pay for high message usage, or spend staff hours doing the work manually. A broader platform can also be poor value if the practice only needs one narrow recovery workflow.

The right comparison is total cost for the outcome you need, not the number of features on the pricing page.

When a focused tool can cost less

If the practice mainly needs to recover unscheduled treatment, it may not need a full communications suite with phones, reviews, forms, payments, reminders, and marketing. A focused workflow can be easier to evaluate because the economic question is narrower: how much does it cost to move open treatment opportunities toward a current outcome?

See automated follow-up vs call lists for the workflow distinction.

Calculate break-even

A simple directional formula is:

Break-even completed appointments = Monthly software cost รท contribution per recovered completed appointment.

For example, a $300 monthly tool and $200 contribution per incremental completed appointment would need roughly two additional completed appointments per month to cover the subscription. Use your own practice economics rather than vendor assumptions.

  • What is the base monthly or annual fee?
  • Is pricing per location, provider, user, patient, or message?
  • What happens when SMS volume exceeds the included amount?
  • Are onboarding, training, and implementation included?
  • Are PMS integrations included or charged separately?
  • Is two-way texting included?
  • What contract length and cancellation notice apply?
  • What does the first 12 months cost in total?
